Besides the registration of archive fonds
and collections and registration of fin-
ding aids the system also contains sepa
rate registration of acquisitions and
deductions (registration of so-called
external and internal changes) obligato
rily used by all archives since 2005, and
an optional locating system. Additional
registrations cooperate with each other,
improve information about archived files
and can transfer the information they
contain into their records. The system
provides large quantities of statistical
data.
PEvA system, from which both the archi
vists and the public drew information, is
continually developed and utilized by all
archives; nowadays it primarily serves
the archivists for the registration of spe
cific types of national property. The data
created by operators in PEvA program
can become, and in some cases have alre
ady become, the basis of gradually built
automated information systems of indi
vidual archives. The information contai
ned in this system is continually rende
red to the research community on
demand, yet the information intended
for the public is more and more provided
via internet.
In PEvA program a unique file of
information arose that is interesting and
useful both for the professionals and for
the lay public. The system nevertheless
executes many purely technical functions,
is therefore rather complicated and not
too convenient for general accessing of
data. In connection with the expansion of
Internet in the world and in the Czech
Republic the demand arose among the
research community for publishing the
basic data of archived fonds via Web
pages. Archive Administration Depart
ment in 2002 therefore prepared, in
cooperation with Mol Public Relations
Department, Web presentation of the key
data from the said database, which can be
found at the address: www.mvcr.cz/
archivy/peva.
This Web database contains data about
the name of an archive fond (archive
group), creator, time extent, footage
(number of shelve meters), whether the
fond is arranged and inventoried and
which finding aids apply to it. Researcher
can thus find in which archives the docu
ments are stored he is searching for, from
which time period they date and whether
they are processed or not, which is one of
the main criteria for accessing it. A short
description of how to proceed when sear
ching for the data, supplemented by exa
mples, is a part of the presentation.
As earlier stated, already in the first
months of operation considerable interest
was shown in this information. The use
fulness of the published information is
also substantiated by the fact that referen
ces to the said database can be found on a
number of Web pages of partner institu
tions and organizations both in the Czech
Republic and in other countries.
Comments and suggestions of archivists
and lay public then became the basis for
further development of the Web presenta
tion. Since 2003 the description of search
methods is available in several languages
(English, French and German). The terms
for retrieval should nevertheless be given
in Czech, as a translation of such extensi
ve and still developing file of data would
not only be technically and financially
very demanding but at the same time pur
poseless, as the researcher must know the
name of the fond, archive and other data
in Czech. Yet the said changes again incre
ased the number of visitors to this Web
database, with the number of retrievals
reaching tens of thousands per month."
Researchers' lack of experience in the fond
structure proved to be a certain limitation.
A relatively high percentage of persons
thus failed to find the required data due to
wrong entered terms for retrieval. This
fault is eliminated by OLQR (on-line
quick reference), which the researchers
can send (also in English, German and
French) to a special e-mail address of
Administration of Archives Department
(arch@mvcr.cz), where they can get other
cues and information.
The Web database itself will be further
extended in future. In this connection our
immediate target is the accessing of data
on the above set of finding aids at our
Administration of Archives Department
in Prague. In the long-term perspective
the contents of finding aids in electronic
form should be directly integrated into
both information systems. The first step
in this direction is the development of
DTD (Document Type Definition) for
XML (Extension Markup Language) docu
ments, which would become the standard
for publishing and exchange of texts of
the finding aids in electronic form. This
would further extend the possibilities for
opening of the extensive archive wealth
kept in Czech Republic archives both to
the Czech and to the world public.
